Customs and documentation support

Help identifying, assembling and checking the paperwork a route requires, so that gaps are found before the shipment moves rather than at a border.

Documentation is where cross-border transfers most often fail. A form is missing a signature, a name does not match between two documents, or a declaration required at the destination was never requested at the origin.

We review the complete set before collection and tell the responsible party what needs correcting. We prepare and check documentation; we do not certify it, and we do not sign on behalf of a clinic or a patient.

Who it is for

  • Clinics handling an unfamiliar destination
  • Patients who have been sent a list of requirements they do not understand
  • Organisations that want a second check before a shipment leaves
  • Any route where the documentation set is not already established

What is transported

  • Not applicable. This service supports a transport case rather than carrying material

How it runs

Coordination - and what happens at each point

How coordination works

We list the documents the route requires and who is responsible for each.

We review completed documents for internal consistency before collection.

We raise discrepancies with the party that can correct them.

Before collection

  1. Produce the documentation list for the route
  2. Confirm who will provide each item
  3. Review the completed set for consistency and completeness
  4. Confirm the position with both clinics in writing

During transport

  • The courier carries the case documentation for the route
  • Additional copies are retained centrally and can be reissued if required

At handover

  • The documentation is presented to the receiving clinic with the shipment
  • Completed copies are returned to both clinics after receipt

What we need from you

Information required to assess this route

Enough to judge whether the movement can proceed, and no more. Please do not send medical records.

  • The route, including both countries
  • Any requirements either clinic has already been given
  • The identity of the person authorised to sign for the patient

Limitations

Where this service stops

Stated up front, because finding out later is worse for everybody.

  • We are not customs agents and we do not provide legal or regulatory advice.
  • Clearance decisions are made by the relevant authorities, not by us.
  • Requirements vary by origin, destination and the organisations involved.

Send us the two clinics, the material and your preferred timing. We will assess the route and confirm what it involves.

A quotation is provided following case assessment. Requirements vary by origin, destination and the organisations involved, and some routes cannot be supported.
